Gmail Not Syncing with Outlook? 6 Solutions You Must Try

Configuring your email accounts brings a lot of conveniences as you need not go back and forth every time you need to check your emails. Outlook and Gmail, both of the email services, are used by most of the email service users. Moreover, Outlook combined with Gmail can step up one’s game with improved performance, ease-to-use, and better management.

But this valuable feature is pointless when you realize that Gmail is not syncing with Outlook.

1. Check Faulty Windows Updates

The first moment you realize Gmail is not syncing with Outlook, you must check the Windows updates installed on your device. There can be some faulty or unwanted updates that you have installed on your device that are causing the synchronization error. 

There are certain updates like KB2837618 and KB2837643 that result in sync errors not only with Gmail but also with most of the other email services. 

So, if you have also installed these updates for your Windows, you must uninstall them forthwith. Afterward, try to sync Gmail with Outlook again.

Tip- Do not install any Windows update till the sync issue with Outlook gets resolved.

2. Check Internet

A mere internet glitch can also be the reason for facing issues while syncing emails from Gmail to Outlook. So, you need to be sure that your device is connected to a working and stable internet connection. Also, verify your internet settings if they are restricting the syncing process.

3. Remove and Re-Add Gmail Account

To remove Gmail account-

  • Launch Outlook on your device
  • Click on the ‘File’ option
  • Go to Account Settings> Account Settings
  • Select the Gmail account that you want to delete or remove, and then click on the ‘Remove’ option.

To re-add Gmail account to Outlook-

  • Open Outlook
  • Click on File>Add Account
  • Enter your Gmail address in the dialog box that appears, followed by the password.
  • If you have enabled two-step authentication for Gmail, enter the password that you have generated and click ‘Next’
  • Outlook will start receiving the settings from Gmail and testing the connection.
  • If each setting has been entered correctly, you will receive a congratulations message.
  • Click on ‘Finish’ and you can start sending and receiving Gmail within Outlook.

4. Verify the Accuracy of Gmail IMAP and POP Server Settings

As explained in the previous step, you need to enter the correct IMAP or POP settings for Gmail, as a single error in the settings can turn things upside down. If you are not sure what settings should you use for your Gmail account, refer to the information provided below:

Set up IMAP in Gmail

IMAP is used to read your Gmail messages in other email clients such as Outlook, and it can be used across multiple devices as emails are synced in real-time.

Step-1 Primarily, you will need to ensure IMAP is turned on for your Gmail account as follows:

  • Launch Gmail on your device.
  • In the top right, click Settings>See all settings
  • Click on the Forwarding and POP/IMAP tab.
  • In the ‘IMAP Access’ segment, select the option ‘Enable IMAP’ and click on ‘Save Changes’.

Step-2 Then you have to change SMTP and other settings in Outlook using the information provided in the table below:

Set Up POP in Gmail

POP can also be used to read your emails of Gmail in other email clients, but it can only be used for a single computer. POP doesn’t sync emails in real-time, instead, they get downloaded and you can decide how often you want to download them. 

Step- 1 Firstly, you need to set up POP in Gmail as follows:

  • Launch Gmail on your device
  • And then click on ‘Settings’ in the top right corner, further click on ‘See all settings’
  • Click on the tab ‘Forwarding  and POP/IMAP’
  • In the ‘POP Download’ section, select the box for ‘Enable POP for all mail’ or ‘Enable POP for mail that arrives from now on’.
  • Finally, click on ‘Save Changes’.

Google Discontinued Free Sync Service

Google offered Google Sync and Google Calendar Sync to synchronize Gmail accounts with Outlook. But in 2012, Google discontinued both services and as a result, this affected free syncing. If you have a paid Google Apps account, it gives you access to the premium syncing service that will probably fix this issue.

Use Premium Gmail

With Gmail’s free email plan, you do not get the support to sync with Outlook, as Google no longer supports Google Sync. Although you can sync Gmail to Outlook with IMAP, you will get direct syncing tools through Google if you upgrade your account to a premium one. This will certainly get you out of most of the issues you are facing while using Gmail with Outlook.
